Welcome
SuperEntries.com connects athletes, coaches, team managers, and meet organizers in one place to handle competition entries from start to finish — team rosters, event entries, entry fees, schedules, and results.
This manual is organized by what you do on the platform. Use the menu on the left to jump to your section, or scroll down to read it all.
Accounts & sign in
1 Creating an account
Go to the SuperEntries.com homepage and click Register. Choose the role that matches what you'll be doing:
- Athlete — if you'll be entering yourself in competitions, typically as an unattached athlete.
- Coach — if you manage a team's roster and enter athletes into meets.
- Team manager — similar to coach, for staff who manage entries without necessarily coaching.
- Meet organizer — if you're setting up and running a competition.
2 Verifying your email
After registering, you'll see a Check your email screen and receive a verification link. Click the link to activate your account.
noreply@superentries.com. Do not register again with the same details — this creates a duplicate account. If you still can't find it, contact support with your name and the email you used.
3 Signing in
Use the Sign in link on the homepage. If you forget your password, use the Forgot password link on the sign-in page to reset it by email.
Completing your details (athletes)
Your coach may email you a link asking you to complete your uniform, medical, and travel details. This link works without creating an account or logging in — just click it, fill in the form, and submit.
You'll be asked for:
- Uniform sizes — t-shirt, shorts, jacket, shoe size, height, and weight.
- Medical information — blood type, any medical conditions, current medications, and other health notes.
- Travel details — your nearest international airport, for competitions requiring travel coordination.
This information is only used to prepare your entries and is shared only with the relevant meet organizers and your team.
Entering yourself in a meet (athletes)
If you have your own account and compete as an unattached athlete, go to Find competitions, choose an open meet, and click Enter this meet. Since you're unattached, your name will show automatically — just tick the events you want to enter and add your Personal Best (PB) and Season's Best (SB) where required, then click Review and submit.
Setting up your team (coaches & team managers)
1 Finding or creating your team
After registering, search for your team by name. If it already exists, request to join it — if the team has no head coach yet, you'll be added immediately; otherwise your request goes to an administrator or the existing head coach for approval.
If your team doesn't exist yet, you can create it and select the correct federation (JAAA, ISSA, InterCol, JISA, or INSPORTS).
2 Team settings
From your dashboard, go to Team settings to update your team's name, short name, Meet Manager export code, and gender category.
Managing your roster
Adding an athlete
Go to My roster, search for the athlete by name, and click Add to team. If they're not in the system yet, use the roster page to add a new athlete record.
Editing athlete details
Click Details next to an athlete to edit their uniform, medical, and travel information yourself.
Inviting an athlete to complete their own details
Instead of entering everything yourself, click the mail icon next to an athlete and send them a link to fill in their own details. If they already have an email on file, it's pre-filled for you — just confirm or edit it before sending.
Removing an athlete
Use Remove from roster if an athlete has left your team. This does not delete their record — it just ends their membership on your team as of that date.
Entering athletes in a meet
1 Start an entry
Go to Find competitions, choose an open meet, and click Enter this meet. Select your team, then click Start entry.
2 Add athletes to events
Click Add athlete to entry, choose the athlete, then tick the events they're eligible for based on their age category. If the meet requires Personal Best (PB) and/or Season's Best (SB) marks, enter them for each event — for events 800m and longer, you can type times as 2:01.82, 2 01 82, or 20182 and they'll be read correctly.
3 Review and submit
Once you've added everyone, click Review and submit. Check the summary, then confirm. You'll land on a confirmation page and receive a confirmation email.
Understanding entry status
| Status | What it means |
|---|---|
| Draft | Added but not yet submitted through Review & submit. |
| Submitted | Submitted and awaiting the meet organizer's review. |
| Approved | Confirmed by the meet organizer. You're entered. |
If a meet requires an entry fee, you'll see payment options on the confirmation page after submitting.
Setting up a meet (meet organizers)
1 Create the meet
From your dashboard, click Create new meet. Fill in the name, venue, dates, and entry deadline.
2 Add events
Add each event with its age category and gender. For relays, mark the discipline as a relay so entry forms handle team legs correctly.
3 Set requirements
Choose whether Personal Best, Season's Best, uniform sizes, medical information, or travel documents are required for entries to this meet.
Managing registrations
From View entries, you can see every team's registration status, approve pending ones, send reminders to coaches who haven't submitted, and resend confirmation emails.
The All entries view lists every individual entry across all teams, in the order they were submitted, with a quick way to scratch an entry if needed.
Building the schedule
Draft schedule
Use the Event Order tab to drag events into your preferred running order — hold Ctrl and click to select several events and drag them together. Set the lane count and start time under Settings, then click Generate draft.
Field events
Field events run at the same time as track events, often in parallel with each other. Give each field event its own start time and set how many concurrent areas (pits, circles, runways) are available — the system calculates flights and finish time from that.
Final schedule
When entries are closed, click Generate final schedule. This creates a clean version that automatically excludes any event with zero entries — without touching your draft, so late changes don't require starting over.
From the Final Schedule tab you can:
- Print / Download PDF — opens a printable version; use your browser's print dialog to save it as a PDF.
- Upload as Order of Events — replaces the previously uploaded draft document, which also updates the public meet page automatically.
- Email coaches — sends a link to the final schedule to every coach with a registration for the meet.
Documents & exports
Upload the Order of Events, start lists, results, and other documents from the Documents page — these appear on the public meet page automatically. Use MM export to generate Hy-Tek Meet Manager import files once entries close.
Users & teams (administrators)
From Admin → Users, manage accounts, roles, and coach/manager team assignments. From Admin → Teams, edit team details or manage a team's full roster, including moving athletes between teams.
Admin tools
- Photo review — approve or reject athlete accreditation photos.
- Activity log — see a history of key actions across the platform.
- Email log — see recent emails sent, delivery status, and whether they were opened.
- System — monitor email queue health and run maintenance tasks.
Frequently asked questions
I didn't receive my verification email
Check your spam folder and search for noreply@superentries.com. Don't register again — this creates a duplicate account. Contact support if it still doesn't arrive.
My entry shows as "Draft" — what do I do?
Go back to your entry and click Review and submit to move it forward. Adding events alone does not submit them.
The entry deadline has passed — can I still enter?
No, once the deadline passes the entry form closes automatically. Contact the meet organizer directly if you need an exception.
How do I know if my entry was approved?
Check your registration status on your dashboard, or look for a confirmation email once the meet organizer approves it.
How do I change my password?
Use Forgot password on the sign-in page to reset it by email.
